What is a Certified Copy?

Is a process of certifying a copy of a document, during which you are obtaining a certifiers opinion that the document is a true and complete copy of an original that they have sighted. The certifier is stating that the document is an identical copy of the original document.

Tip: When QBANK requests a certified copy, we require the version that is completed by the ‘certifier’. QBANK is unable to accept a photograph or scanned copy of a certified document.

How to Certify a Document

To certify a document:

  1. Take a photocopy of the original document (ensuring any text and photograph is clear and identifiable);
  2. Take this copy and the original document to an ‘approved certifier’ (see below);
  3. Provide the certified copy to QBANK either in person or by post to -

QBANK, PO Box 13003, GEORGE ST QLD 4003.

Accepting Foreign Certified Copies

QBANK can accept a certified copy signed by a person in a foreign country who is authorised by law in that jurisdiction to administer oaths or affirmations or to authenticate documents.

In order to accept the document, we require knowledge of the law for the specific foreign country. Please contact us directly so we can assist you with your specific situation.

Tip: For nearly all documents, the certification statement should read similar to:

“I have sighted the original document and certify this to be a true copy of the original.”

On each of the photocopied pages the certifier must also include their full name and signature, the date and registration number (if any), and a reference to the qualification or occupation that entitles them to certify the documents.

EPOA/POA require specific wording to be deemed validly certified by law. The certification statement/stamp on the first and following pages should read:

“This is to certify that this is a true and complete copy of the corresponding page of the original EPOA/POA, Date…. Signed…. Name…..”

The last page of the EPOA/POA certification statement/stamp should read:

“This is to certify that this is a true and complete copy of the original EPOA/POA, Date…. Signed…. Name….”
